The Department of Pediatrics has an immediate opening for an experienced, highly self-motivated Administrative Assistant to provide complex and independent administrative support to the Division of General Pediatrics and project groups within the Department of Pediatrics. This position requires interfacing with diverse groups of people in a pleasant, helpful, and professional manner.

Responsibilities

Essential Functions and Responsibilities
  • Provide administrative support to the division including
o Purchasing and accounts payable

o Arrange conference travel and prepare expense reports

o Schedule and facilitate meetings, prepare agendas, and distribute minutes

o Compile monthly invoicing logs and assist with other financial reporting
  • Provide fundamental administrative support to the General Pediatrics Division and mainly the South Main Clinic and its faculty members.
  • Coordinate multiple faculty members' clinical schedules, facilitate meetings, proactively anticipate faculty members' needs, and help with those needs whenever possible.
  • Support the purchasing, accounts payable, and administrative needs of a national pediatrics research project.
  • Assist a Title V grant-funded group by scheduling meetings, preparing agendas, distributing meeting resources, and tracking attendance.
  • Serve as coordinator for Pediatrics ECHO series by communicating with presenters, publicizing meeting information to attendees and CME office, hosting and recording sessions, tracking session attendance, and updating website.
  • Perform other related duties as assigned and participate in diverse administrative projects according to fluctuating division and department needs.
Core components of the position include the ability to multitask while simultaneously being able to prioritize tasks based upon urgency, importance, and deadlines.

Minimum Qualifications

Associate degree in business or equivalency (one year of education can be substituted for two years of related work experience) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.

  • Strong writing skills. Must be in the habit of proofreading documents and emails for spelling, grammar, content, and clarity before disseminating.
  • Exceptional organization and time management skills with extreme attention to detail.
  • Capable of effectively managing multiple duties and competing deadlines with minimal supervision.
  • Comfortable taking direction from multiple supervisors.
  • Flexibility and willingness to help where needed.
