Job Summary

Reporting to the assigned Division Manager, the Project Specialist – Real Estate and Facilities (RE&F) is responsible for administrative and business operations support including department operation, processes, coordination, and management of district-wide Real Estate and Facilities activities.

Primary Duties and Responsibilities

Essential Performance Requirements*
  • Provides program task management support in operations maintenance, construction, and renovation of campus infrastructure such as finance, document records, archiving, procurement, workflow, and compliance
  • Prepares department process maps, program user guides and presentation materials such as workflow creation, source referencing and document writing
  • Supports administrative and operational functions for enterprise and Integrated Workplace Management Systems
  • Directly monitors the development and management of RE&Fs' special projects, research, activities, and schedules
  • Assists in the oversight of the Real Estate and Facilities functional programs compliance and implementation issues related to budget, procurement, and contract management
  • Conducts research, audits, and prepares analytical schedules and reports regarding the responsibilities of RE&F functional programs
  • Liaises and coordinates with related departments
  • Coordinates office workflows, provides administrative support and assists with staff development and training
  • Addresses common process questions and issues
  • Reviews projects and contracts for compliance and takes appropriate actions to resolve discrepancies
  • Assists in the preparation of progress reports for the Board of Trustees
Service Excellence
  • Attends the workplace regularly, reports to work punctually, and follows a work schedule to keep up with the demands of the worksite
  • Completes all required training and professional development sessions sponsored through Tarrant County College (TCC)
  • Supports the mission, values, goals, and principles of the College
Supervision

Works under the general supervision of the assigned Division Manager

Required Minimum Qualifications

Associate's degree or sixty (60) college hours and three (3) years' working experience related to the Essential Performance Requirements; or equivalent combination of education and working experience

  • Knowledge of project management, workflow creation, and process mapping
  • Skilled in excellent customer service and interpersonal skills
  • Skilled using computerized applications and enterprise systems, including word processing, spreadsheet, and presentation software
  • Ability to research, analyze and solve problems
  • Ability to work effectively in a collaborative environment and a setting
  • Ability to think critically to effectively solve and communicate problems in a fast-paced environment where the demands for work are varied, and unpredictable in scope and volume
  • Ability to analyze data and provide sound recommendations based on policy, procedure, practice, and existing regulations
